7. Definition of Personnel Structureswarning ! : THIS CHAPTER IS OBSOLETE SINCE THE MAIN INSTITUTES LISTS (Library, User Office, Grey book) have been merged into HR (07/98) : External organization data structure has changed a bit. These data will be maintained through the PIE (Persons, Institutes and Experiments) interface : the user guide will be included to the PIE documentation.Structures Organizations Jobs Grades Experiments Description Hierarchy Job Catalogue Career Path Salaries 7.1 Organization and Organization Hierarchy\NSOD Navigate Structures Organizations DescriptionThis screen is used to enter and maintain organizations. An organisation can be a part of the CERN hierarchy as well as an institute or a news paper. In Oracle HR there are 10 different organisation types: Organization (CERN) Sector Division Group Section Subsection School Institute & School Institute Paper (Recruitment)
Organization * Name Enter the name of the organization, for example AS-DB, DK0097, Le Monde etc. * Dates from and to The range of dates in which the organization is valid. * Type Enter the type of organization, for example group, institute, paper etc. * Internal or External Internal is limited to CERN's Internal Organization Unit External is for all other organization. * Internal Address Enter the internal address, the information is optional. * Location Enter the code for the address, normally the same code as the organization. To be able to enter an address, press \OZ (Other Zoom) and a new window is popping up.
Location * Name The name of the location which is the same as the organization's name. * Description A field to enter a description of the location. * Address Style United Nations by default. * Address A flexfield that opens the possibility to enter the address. * Inactive Date The date on which the address is no longer valid. In the flexfield you'll find Additional Location Details such as phone and telefax numbers. When the location is entered, press 'Save' (F3) and to leave the zoom level 1 press F4. The cursor will then return to the previous page with the recently entered information posted in the field Location Address. In the flexfield Additional Organization Unit Details enter the title, the long English and French name of the organization.
The second zone should contain the information 'HR Organization' and the third zone leads you to additional information such as: * Costing Information Enter the intersection code linked to the organization. * Parent Organization Enter the hierarchy and the name of next standing superior organization. * Work Day Information Enter information on the working hours and the frequency. \NSOD Navigate Structures Organization Description This screen is used to enter and maintain CERN's internal hierarchy and institutes' hierarchy.
Under Organization Hierarchy Name enter directly the name or pick a value from the list with F7. In the second zone enter or find the version(number for the hierarchy version you create). To move in between different versions use the up and down arrows. Under Organization you'll find all the organizations defined in \NSOD and to fast find the wanted organization, put the zone into query mode F5, enter the searching criteria and run the query F2. When you have found the organization, the other fields are filled in automatically. The fourth zone holds information on the subordinates. It is possible to enter and delete subordinates (\RD). 7.2 Jobs\NSJ Navigate Structures Job
The screen is used to define jobs and it contains the following fields: * Dates The period of time that the job is available. * Name This field is a flexfield which holds information on the type (staff or firm), the code and the title of the job. The flexfield contains information such as short English and French title, short French job title and job category. * Additional job information Gives the opportunity to enter Evaluation, Requirements and Valid grades. This is not used at the moment. 7.3 Career Path\NSGC Navigate Structures Grade Career PathThis screen is used to manage the career paths and their belonging grade & steps. The screen is date tracked and it is therefore important to change the session date to the date of the event.
The first zone the career path is identified with its ceiling and the second zone holds information on the grade & step. The sequence is given automatically and so is the date from. To enter an end date , position the session date to the wanted end date, press \RD and answer the questions (see section 2.7). 7.4 Salary rates\NSGS Navigate Structures Grade SalaryThis screen is used to manage the salary system with the salary for each grade & step.
The first zone holds information on the different rate systems. The salary system at CERN is called "CERN Salary Rates". The flexfield opens a new screen where all the grade & steps are entered with their corresponding salary rate and in between which dates this information is valid. The date from comes automatically and is the session date. To be able to enter an end date set the session date to the wanted end date, press \RD and validate the information with F3(see section 2.7).
7.5 Experiments \NSE Navigate Structures Experiment This screen is used to define and maintain experiments.
In the first zone enter the name and other relevant data. Use the picklist whenever you feel uncertain about the value that you can enter. Save the information and position the cursor in the second zone with Next zone, which will give the option 'Collaborators'. The collaborating institutes are entered in the screen that appears when you've made your choice.
Enter the period during which the institute is a member of the collaboration. Thereafter enter the name of the institute and this will give you the code and the country automatically. |
