SMT Base Data Editor

Base Data EditorBy clicking on the edit (pen) icon in the simulation list you open the base data editor. You can also go straight to the base data editor from the SMT menu by clicking on the Base Data Editor link. Do not forget to select the simulation that you want to work with in the Simulation drop down before starting to edit the data in the latter case.

What is base data?

Base data in SMT terms is, as the name suggest, the most basic data about each person in the simulation. This data is as follows:

  • The starting date of the persons STAF contract.
  • The date the persons LD contract was extended (if this falls within the time period of the simulation)
  • The date the person received a indefinite contract (if this falls within the time period of the simulation)
  • The last active working day.
  • Whether the person is replaced or not in the event of a departure.

Editing the base data

Upon entering the base data editor you will see a screen similar to the one below:

When first opened, the screen is empty. You can load it with data simply by clicking on the "Refresh" button. However, unless the Area (see Basic Concepts) of the simulation is quite small, this is probably not the best approach since it will result in a very long list of people displayed on the screen.

A better option is to first select the area you want to focus on, for instance a group, a project or a PPA unit by entering the desired unit in one of the search fields to the right of the toolbar.

Then by hitting the Enter key or clicking on the refresh icon, the screen will be filled with the desired population. This will produce a list looking similar to the one below. As usual, you can select an item (person) in the list by left-clicking on the name. When clicking on one of the columns on the right hand side starting with the column "LD Extension Date", you can open the editor to change the base data.

Execute SimulationNote that the results displayed will be from the last execution of the simulation. If the simulation is newly created, there is not yet any results so you have to execute the simulation first. If the simulation needs to be re-executed, this is displayed to the right of the simulation name just below the tool bar. See example below. Note that the editing screens will not automatically re-execute the simulation in the same manner as the reports do since it is assumed that you might want to do more than one change before ordering a re-execution.

From the now filled screen you can change the data in order to, for instance, extend a LD contract, award an indefinite contract or terminate a contract etc...

Left-click on the data field that you want to change and the line turns into edit mode or right-click the line and choose "Edit Base Data" from the context menu. You can then change the data as you wish. Note that if you have set the simulation to use Strict Rules then it may or may not take your change into account. See Basic Concepts for more details.

You may now enter the desired data. To confirm, hit the Enter key or click on "Ok" icon to the far right of the line.

Once a line has been modified such that the user entered data no longer corresponds to the simulation output, which of course is the case before the simulation has been re-executed, the line turns red to indicate that there is a discrepancy. By re-executing the simulation, the red colour should disappear.

If the line stays red even after a re-execution, then the simulation has refused to take the data into account. This can happen when the data you have given violates the rules of the organization, especially if you have selected to use Strict Rules (see Basic Concepts).

Once the data have been taken into account, the colour of the line will change to a blue in order to easily distinguish between people for which you have entered user data and for those where you have not done so. An example is shown below. The first line (in red) contains some data that has not been taken into account by the simulation. The last line contains user data that is considered.

Note that the red lines contains both the user entered data and the actual simulation results (in brackets).

LD Extension Date:

This is obviously only applicable on specific LD contracts. Entering a date here will extend the contract to total 6 years (applicable for example for 3+3 or 4+2 contracts). If you need to extend the contract for an exceptional time period (different from 6 years) you will need to enter a contract termination date as well or use the Contract Editor which allows you to make more elaborate contract changes than the base data editor.

Indefinite Contract Date:

Entering an indefinite contract date will turn the persons contract into an indefinite contract (IC) as from the date given. This is obviously only applicable to LD and FT contracts. If the application is set to use Strict Rules (see Basic Concepts) then indefinite contract dates will not be accepted for contracts with fixed duration recorded in HR, if the indefinite contract date would cause the LD contract to run for more than 6 years or similar violation of the normal CERN rules.

Contract Termination Date:

Entering a contract termination date will terminate the contract at the given date. Again, if Strict Rules (see Basic Concepts) are enabled then dates violating the standard rules such as a date causing an LD contract to run for more than 6 years will not be taken into account.

Last Active Working Day:

The last active working day controls whether the person will be considered as Present or not. (See Basic Concepts for an explanation of presence)

Replace

By checking this checkbox you will order the simulation to recruit a replacement for this person when his contract is terminated. Obviously this has no effect if the person is not terminated during the run of the simulation.

Once a replacement has been requested you can also fill in a delay in months (optional) between the departure of the person and the recruitment of a replacement.

By default the recruitment is done in salary position a.00 of the career path of the person being replaced. In case this is not the desired position a specific position can optionally be filled in.
